About the Evos head office: The Evos head office is based in Amsterdam and serves as the central hub supporting all Evos terminals across Europe. The office enables collaboration across all terminals and provides essential services in areas such as management, finance, operations, commercial, business development, strategy development, sustainability, HR, HSSEQ, technical / project management, customer service, IT / OT, legal, procurement, and communications.

About the Role: The Personal Assistant provides administrative and organizational support to the Evos Management Board (EMB) and basic support to other Group functional leads. This role requires professionalism, discretion, and multitasking skills to manage schedules, meetings, correspondence, travel, and office operations. Together with the other Group Personal Assistant, this role ensures a daily physical presence in the office.

Your main responsibilities will be:

  • Manage executives’ schedules, meetings, and travel arrangements, handle correspondence, documents, reports, and presentations and organize meetings, prepare agendas, take minutes, and follow up on actions.
  • Assist in organizing events as needed. Arrange logistics of Supervisory Board meetings, internal events and corporate external events.
  • Oversee office purchase requisitions, invoices, and purchase orders, maintain filing systems and administrative procedures.
  • Distribute announcements and assist with personal tasks, expenses, and errands, liaise with internal/external stakeholders and ensure confidentiality.
  • Support Group-related procedures and tasks as assigned, oversee office operations, facility management, and budget (if applicable).
  • Welcome visitors and new employees, maintain office efficiency, equipment, and supplies.

About you: To qualify for this role we expect that you match the following requirements:

  • HBO working level and you have experience in a corporate environment.
  • Experience as a Personal Assistant or similar role and you have excellent organizational and time management skills.
  • Strong written and verbal communication skills in Dutch & English.
  • Proficient with IT applications and IT infrastructure like Microsoft 365 (Word, Excel, PowerPoint, Outlook & MS Teams).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Strong attention to detail and problem-solving skills.
